Data we collect
- Contact details you submit (name, email, property information, message content)
- Technical logs such as IP address, browser type, and pages visited when analytics cookies are accepted
- Engagement documents you later provide under a signed letter (folios, remittances), handled under confidentiality terms of that engagement
Purposes
We use personal data to respond to enquiries, scope and deliver audit engagements, improve the website when analytics are allowed, and meet legal obligations in Malaysia.
Retention
Enquiry messages are retained up to 24 months unless a longer period is required for an active engagement or dispute. Engagement working papers follow the retention period stated in the engagement letter, typically up to seven years for audit workpapers. Analytics data follows cookie lifetimes described on our Cookies page.
Sharing
We do not sell personal data. We may share data with infrastructure providers who host email or file transfer under contract, or with professional advisors when required. Guest personal data inside folio exports is processed only to deliver the agreed audit and is not used for marketing.
International transfers
If a processor stores data outside Malaysia, we seek appropriate contractual safeguards. Where guest data from Malaysian properties is involved, we keep transfers limited to what the engagement requires.
Your rights
Subject to Malaysian law, you may request access, correction, or limitation of processing of your personal data, and you may withdraw consent for optional analytics cookies. To exercise rights, email hello@data-effica.digital. You may also contact the relevant Malaysian data protection authority regarding unresolved concerns.
Security
We use access controls and encrypted transfer options for engagement files. No method of transmission is perfectly secure; please avoid sending passwords inside enquiry forms.
